Privacy notice
This notice explains what happens to the information you give us through this website. We've kept it specific: it describes what the website actually does, not what websites in general might do.
Who is responsible for your information
Sehlam Home Care is responsible for the personal information collected through this website. For privacy questions or to use your rights, contact us at privacy@sehlamhomecare.com.
What we collect, and what we don't
We only collect what we need to respond to you. There are three forms on this website.
| Form | What we ask for |
|---|---|
| Request a care assessment | The kind of help needed, visiting or live-in preference, who the care is for, an optional age range, the region and town or area (not a street address), your name, how to contact you (phone, WhatsApp or email), a convenient time and time zone, an optional short note, and your confirmation that you have read this notice. |
| Professional referral | Your name, role, organisation, work email and phone, the general kind of support needed, the region, the timing, an optional short note, and your confirmation that the person's details will be shared later through a secure handover. |
| Careers: register your interest | Your name, email, phone, the role you're interested in, whether you hold a professional registration (yes/no only), where you're based, your experience range, the kind of work you want, an optional short note, and your confirmation that you have read this notice. |
We do not ask for diagnoses, medical history, identity documents, licence numbers, photographs or file uploads on this website. Please don't include them in the optional notes. If you decide to go ahead with care, or move forward in recruitment, more detailed information is collected later through a separate, private process, and we'll explain it at that point.
When you submit a form, we also record the date and time, the page you used, and a scrambled code made from your internet (IP) address so we can limit abuse. We do not keep your IP address itself with your request.
How we use it
- To contact you about your request, at the time and by the method you chose.
- To decide whether and how we can help, including whether we can provide care where the person lives.
- For referrals, to arrange a secure handover of the person's details with the referring professional.
- For careers, to consider your interest against the roles and areas we are recruiting for.
- To keep the website and our forms secure and to prevent misuse.
We don't sell your information, we don't use it for advertising, and we don't add you to any mailing list. If we ever offer email updates, signing up will be a separate, optional choice that is never ticked for you.
The legal grounds we rely on under Ghana's Data Protection Act, 2012 (Act 843) are your consent when you submit the form, the steps you ask us to take before any agreement for care or work, and our legitimate interest in keeping the service secure. This section is subject to legal review.
Who can see it
- Sehlam staff who handle enquiries, referrals or recruitment, and only what they need for that.
- Our website host. The website and the stored requests currently run on a server operated by Promatics Technologies in Canada while the site is being prepared. This means your information is stored outside Ghana. Before launch, Sehlam will confirm the long-term hosting arrangement and update this section.
- Our email provider. When you submit a form, our team is notified by email with your contact details and request type. The optional note is not included in that email; staff read it on the secure server. If you gave an email address, you'll receive a short automatic confirmation with your reference.
- Sehlam's care management system, once it is in use: your request will be passed to it securely so the team can follow it up. Until then, requests stay on the website server.
We will share information with others only when the law requires it, or to protect someone's life in an emergency.
How long we keep it
These periods are proposed and will be confirmed before launch:
- Requests that move into Sehlam's care management system: the website copy is deleted 30 days after it has been handed over safely.
- Requests that don't go further: deleted 12 months after our last contact.
- Careers expressions of interest: deleted 12 months after they were sent, unless you join us.
- Test and spam submissions: deleted after 30 days.
- Server access logs (which contain IP addresses): kept for 14 days.
- Backups of the server: kept for 30 days, so deleted information can remain in a backup for up to 30 days before it disappears completely.
How we protect it
The website uses encrypted connections (HTTPS). Requests are stored on the server in files that only the website service can read, with access limited to named administrators. The forms are protected against automated misuse, and we keep the information we collect to a minimum. No method of storage or transmission is perfectly secure, and we'll tell you and the relevant authorities if a breach affects your information, as the law requires.
Cookies
The public pages of this website do not set cookies and do not use analytics or advertising trackers. The website remembers nothing about you between visits. The private editing area used by Sehlam staff uses a single security cookie to keep them signed in.
Your rights
Under Ghana's Data Protection Act you can ask us:
- whether we hold information about you, and for a copy of it;
- to correct information that is wrong;
- to delete information, or to stop using it, where there is no good reason to keep it;
- to explain how a decision about you was made.
To use these rights, contact privacy@sehlamhomecare.com and tell us your reference number if you have one. We may need to check your identity before we act. If you're not satisfied with our answer, you can complain to the Data Protection Commission of Ghana.
Changes to this notice
We'll update this notice when the way the website handles information changes. The version and date at the top of this section tell you which version you are reading.
Version: draft of 1 October 2026.
